About this notice

This notice covers deskawayly.com and the application process that starts on it. DeskAway is a recruitment matching service based in Hobart, Tasmania. We list remote roles on behalf of partner employers and introduce suitable applicants to them. We are not the employer for any of these roles.

In this notice, "DeskAway", "we" and "us" mean the operator of this website. "You" means anyone who visits the site or applies through it. If you have a question about anything below, email careers@deskawayly.com.

The details the application form asks for

Our application form is hosted by WhatsForm. It asks for the following, and nothing else:

  • Your name
  • Your age
  • Your gender (male or female)
  • Your nationality
  • Your country of residence
  • Your email address
  • Your WhatsApp number

The form also lists the requirements for applying: being 21 or older and having your own Australian bank account. We do not ask for your bank details. The requirement only tells you that the employer will pay into an account in your name if you are hired.

What your device sends automatically

Like most websites, ours receives some technical information whenever a page loads. This includes your IP address, browser and device type, the page you came from, the pages you view and the time of each request. Our hosting provider uses this to deliver the site and to block abusive traffic. Advertising and analytics tags on the site also receive some of it, as described further down.

Which details are required

Every field on the form is needed to consider your application. Your name and WhatsApp number let us continue the conversation with you. Your age, residence and nationality let us check you against the requirements an employer has set. Your email gives us a second way to reach you if WhatsApp fails. If you prefer not to give a particular detail, email us first and we will tell you whether we can still help.

What we do not collect

We do not want, and you should not send us, any of the following: passwords, one-time codes, online banking logins, card numbers, identity document scans, tax file numbers or health information. If an employer later needs documents to put you on its payroll, it collects them directly from you under its own privacy policy.

How we use your details

  • To review your application and decide whether any listed role suits you
  • To contact you on WhatsApp or by email about your application
  • To introduce you to an employer, with your agreement
  • To keep a record of who applied and when, so we do not contact you twice for the same role
  • To understand how visitors reach the site and how many complete the form
  • To keep the site secure and respond to misuse
  • To meet legal obligations that apply to us

What we will not do with them

We do not sell, rent or trade applicant details. We do not add you to marketing lists or send newsletters. We do not pass your details to an employer for a role you have not agreed to be put forward for.

Who sees your details

Our HR team sees your application. When a role fits, we tell you which employer it is before we send anything, and we only send your details once you agree. That employer then handles your information under its own privacy policy. Beyond that, your details reach only the service providers listed next, and only as far as each one needs to do its job.

Service providers we rely on

  • WhatsForm hosts the application form and stores what you submit.
  • WhatsApp (Meta) carries the messages between you and our HR team.
  • Cloudflare hosts this website and forwards email sent to our address.
  • Google provides the advertising and analytics tags described below, and the web fonts used on the site.

When the law requires disclosure

We may disclose information where Australian law requires it, where a court or regulator lawfully asks for it, or where it is reasonably needed to stop serious harm or fraud. If we can lawfully tell you about such a request, we will.

How WhatsApp fits into the application

Applying takes two steps. When you submit the form, WhatsForm receives your answers straight away and then opens WhatsApp with a message already written for you. Opening WhatsApp does not send anything. The message is only sent when you press Send yourself. Applications are processed only once that message reaches us. Anything you write on WhatsApp is also covered by WhatsApp's own terms and privacy policy.

Cookies and similar technology

This site does not set its own cookies. The Google tag and the WhatsForm widget may store cookies or similar identifiers in your browser so they can count visits and measure ads. You can block or delete these in your browser settings. The site and the form still work if you do.

Advertising and analytics

We advertise on Google. The site loads the Google tag AW-17079875344, which measures visits from our ads and also reports visit statistics to our Google Analytics property. The WhatsForm widget separately loads Google Analytics G-9BDZ910W17, which records when the form is opened and when it is submitted.

These tags receive technical details such as your IP address, device and the pages you view. They do not receive the answers you type into the form, so your name, email and phone number are not sent to Google. Enhanced conversions, Customer Match and remarketing lists are switched off for this site. You can manage ad personalisation at adssettings.google.com.

Processing outside Australia

WhatsForm, WhatsApp, Cloudflare and Google run their services from data centres in several countries, so your details may be stored or processed outside Australia. We choose providers that publish their security practices and we take reasonable steps to make sure they handle personal information in a way consistent with the Australian Privacy Principles.

How long we keep things

We keep applications for 12 months from the last time we were in contact with you, then delete them. Server logs held by our hosting provider are cleared within 30 days. Deleted records can remain in backups for up to another 30 days before they are overwritten. If you ask us to delete your details sooner, we will.

Keeping it secure

Access to applications is limited to the people who review them, and accounts are protected with strong passwords. The site is served only over HTTPS. No online system is completely secure, so please tell us at once if you think your details have been misused.

Copies kept by others

If we have introduced you to an employer, that employer keeps its own copy, and we cannot delete it for you. Messages you exchanged on WhatsApp also remain on your phone and on the phones of the people you messaged.

Seeing, correcting or deleting your details

You can ask what we hold about you, ask us to fix anything wrong, or ask us to delete it. Email careers@deskawayly.com from the address you applied with, or tell us on WhatsApp. We answer within 30 days. If you withdraw an application, we stop putting you forward, but we cannot recall details an employer already holds with your agreement.

Automated decisions

Nobody is accepted or turned down by an automated system. A person on our team reviews every application.

Under-21 applicants

The listed roles are open to people aged 21 or older. If we find we have received an application from someone younger, we delete it.

Making a complaint

If you are unhappy with how we have handled your information, email us with the details and we will look into it and reply in writing within 30 days. If you are not satisfied with our reply, you can take the matter to the privacy regulator in Australia.

Changes

We update this notice when the way we handle information changes, for example if we add a new service provider. Check the date shown above to see which version you are reading.
